Managing Time Entries

Premium Feature

Time tracking is a Premium feature. You need a Premium subscription to use it.

In My Times, you can see all your time entries — submitted, approved, and rejected. You can filter entries, view details, and request changes when needed.

"My Times" — Overview

The overview shows all your non-discarded time entries, sorted by date (newest first).

Columns

Filters

You can filter the list by two criteria:

  • Status — All, Approved, Submitted, Correction Needed, or Discarded
  • Date range — Any time period

Status Lifecycle

Every time entry goes through a lifecycle. The following table shows all possible statuses:

Request Pending

If you see a yellow badge with an hourglass icon and the text "Request Pending", it means you've filed a change request that hasn't been processed yet.

Detail View and Audit Log

Click on an entry to open the detail view. There you'll find two tabs:

"Details" Tab

Shows all relevant information about the entry:

  • Date and source (Web or App)
  • Clock-in and clock-out time
  • Breaks
  • Actual, target, and difference values

"Log" Tab

The log (audit log) shows chronologically who performed which action and when — e.g., submitted, approved, rejected, or corrected.

The log helps you trace the complete history of an entry — especially useful for follow-up questions.

Requesting Changes

You can request changes for approved entries if you notice an error.

  1. Open the detail view of the approved entry.
  2. Click "Request Change".
  3. Propose new clock-in and/or clock-out times and/or breaks.
  4. Provide a reason (required).
  5. Submit the request.

Your team lead will receive the request and can accept or reject it. Find more details under Approval Workflow.

Only one request at a time

Only one open change request per entry is allowed. Wait for it to be processed before submitting a new one.

Action Needed — "Correction Needed"

If your team lead rejects an entry, it receives the status "Correction Needed".

Here's what to do:

  1. You'll see a notice in your time entry list. In the app, an "Action Needed" card is also pinned to the top of the list.
  2. Open the affected entry.
  3. Correct the times based on your team lead's feedback.
  4. Resubmit the entry.

The entry then goes through the regular approval workflow again.

Check the "Log" tab to see if your team lead left a comment about the rejection — this tells you exactly what needs to be corrected.

Frequently Asked Questions

Can I withdraw a submitted entry?

No, submitted entries can only be processed by your team lead. Contact them directly if you have questions.

Why do I only see a "–" for "Target"?

Your employment contract has weekly hours instead of daily target hours. The target/actual comparison then happens on a weekly basis in the overtime account.

Can I submit multiple change requests at the same time?

No, only one open request per entry is allowed. Wait for it to be processed before submitting a new one.

What does "Discarded" mean?

The entry has been marked as invalid by your team lead. It does not count toward your overtime account. However, the data is preserved in the audit log.
