Clocking In and Out
Time tracking is a Premium feature. You need a Premium subscription to use it.
The clock is the central element of time tracking. Here you clock in and out, record breaks, and see your current working hours in real time.
Clocking In
To start time tracking:
- On the web: Click "Clock In" in the time tracking widget.
- In the app: Tap "Clock In" on the home screen (TimeClockCard).
Once you're clocked in, a live timer starts showing your current working hours. The source (Web, Mobile, or Kiosk) is automatically recorded.
Recording Breaks
While you're clocked in, you can record breaks:
- Click or tap "Start Break".
- The timer pauses and break duration is counted separately.
- Click or tap "End Break" to continue working.
You can record multiple breaks per day — each is saved as a separate interval. All break times are deducted when calculating net working hours.
Clocking Out
When you want to end your work day, click or tap "Clock Out". A confirmation dialog appears with the following information:
| Field | Description |
|---|---|
| Gross time | Time span from clock-in to clock-out |
| Break duration | Total break time |
| Net working hours (actual) | Gross time minus breaks |
| Daily target (target) | Your expected working hours per contract |
| Difference | Deviation between actual and target |
If there are fewer than 11 hours between clocking out and your next planned shift, a warning will be displayed.
In the confirmation dialog, you have two options:
- Confirm — The entry is submitted and goes through the approval workflow.
- Correct — You can adjust the times before submitting the entry.
A single time entry can span a maximum of 16 hours.
Backfilling Time
Forgot to clock in or out? No problem — you can record times retroactively:
- On the web: Click "Add Time Entry" in the time tracking view.
- In the app: Tap the "+" button or tap an empty day.
In the form, you enter the following information:
- Date — The day you want to add time for.
- Clock-in time — When you started working.
- Clock-out time — When you stopped working.
- Breaks — Optionally add or remove breaks.
- Reason (required) — Why the entry is being added retroactively.
The backfilled entry is created with "submitted" status and goes through the regular approval workflow.
Sources
Every time entry records where it was created:
| Source | Description |
|---|---|
| Web | Via the browser on a computer |
| Mobile | Via the medishift app |
| Kiosk | Via a shared device (e.g., a tablet in the practice) |
The source is displayed in the detail view and cannot be changed retroactively.
Frequently Asked Questions
What happens if I forget to clock out?
Your entry remains saved as "running". You can clock out retroactively or correct the entry via "Add Time Entry".
Can I change the clock times after the fact?
You can choose "Correct" when clocking out to adjust times before submitting. For already submitted entries, you can file a change request.
Are breaks recorded automatically?
No, you need to start and end breaks manually. This gives you full control over your break times.
Does the clock work offline?
The clock requires an internet connection. The timer is based on timestamps (not a local counter), so brief connection interruptions are not a problem.
